Policies of Hotel Bluewater – Sapphire Banquet Hall

  1. In case of cancellation, more than 30 days before commencement of the event, no retention charge will be levied.
  2. In case of a cancellation between 30 days prior to the commencement of the event, the Hotel reserves the right to charge 25% of the total estimated billing as retention.
  3. In case of a cancellation between 15 days prior to commencement of the event, the Hotel reserves the right to charge 50% of the total estimated billing as retention.
  4. In case of a cancellation less than 4 days prior to commencement of the event, the Hotel reserves the right to charge 100% of the expected bill as retention
  5. In the event of postponement of the event to another date, it is to be treated as a cancellation; the above guidelines would still apply.
  6. Any last minute cancellations made on the day of the function due to natural calamities, and have already paid an advance. 50% of the value of the function would be levied and the balance will be carried forward to your next event/function.
  1. All the requirements of the Banquet event, including menu, seating arrangements, floral arrangement, and requirement of audio/visual equipment must be finalized least 7 working days prior to the event.
  2. Please note this offer is valid for the next 10 working days. Should we not hear from you the venue would be released
  3. Only food and beverage items provided by Sapphire Banquets, Pune are to be consumed on the hotel premises. Sharing Plates for meals is Prohibited, If anybody found sharing plates will be charged on Actual.
  4. Kids above 10 years will be considered as Adults.
  5. The dinner / Lunch rate does not includes prawns, lobsters or any kind of shell fish and live counters
  6. Liquor will be served within the timings specified by the State Excise laws.
  7. The Management of Sapphire Banquets, Pune is not liable for any loss or damage to client and his guest’s belongings during the event.
  8. It is necessary to purchase all alcoholic and non-alcoholic beverages from the hotel. In case of service of alcoholic beverages, the hotel on behalf of the client will obtain a temporary Liquor License as per State Excise regulations, and the charges for the same will be collected from client directly.
  9. As per the directive of the Honorable Supreme Court of India playing of loud music and live or recorded musical performance or recital is not permitted beyond 2200 hrs at an outdoor venue and 22:30 hrs at an indoor venue. All music / musical performances will be shut down by stipulated times in accordance with the court’s directive.
  10. All material / equipment brought in for the event has to be duly registered with our security. A formal gate pass would be made and has to be produced when the material is being taken out of the hotel
  11. All power requirements over & above 10 kV in the entire banquet space will be arranged by you.
  12. All printed matter and publicity material carrying the Sapphire Banquets, Pune logo has to be approved by us prior to the event.
  13. Areas towards branding will be allocated keeping in mind the image of the hotel. No branding will be permitted at the entrance, façade, banquet porch etc. Please let us know on your branding and we will approve of the same prior to the event.
  14. Fireworks, animals, bands barats will not be permitted inside and within 50 meters of the hotel premises.
  15. Labour: Please arrange to bring your own porters to carry your materials, as the hotel does not provide porters.
  16. Display: Please note maximum 10 products for display will be allowed in the premises (i.e. consumer durables). Heavy machinery will not be allowed in the premises. All display / audio visual equipment will have to be taken away immediately after the function
  17. All banquet halls will have to be vacated by 1am in the night
  18. You are to ensure your guests do not carry any explosives/inflammable material, confetti blasts and smoke machines to the hotel premises. Further you will be liable for all/any damage to the Conference and Banqueting premises during the duration of the Conference. No double tapes to be used in the hotel premises.
  19. In exercise of the power conferred by Sec 31 of the Cigarettes & other Tobacco products the central government hereby makes the Notification, which is Issued in Public Interest by Ministry of Health & Family Welfare “Smoking in Public Places is strictly prohibited”. The Notification from Ministry of Health & Family Welfare clearly dictates about the Extent & Commencement of the rules as implied and recovery of fines by authorized officers shall act under and compound the offences committed (Offences here means a person found violating any provision of the rules) as stated.   20. All requisite licenses must be in place 5 days prior to the event. A copy of these licenses is to be handed over to the hotel. Licenses required are: i. NOC from the Entertainment Department for any event with a fashion show or where the organizer provides entertainment. ii. NOC from the local Police Station is mandatory for live bands, DJ music, Speeches, etc. or wherever loud speakers are required. Maximum noise level permitted is 55 dB in a commercial area.
  21. Event organizers needs to be the hotel registered vendor only, outside event company not allowed. Hall Charges of 1 Lakh Applicable
  22. Refundable deposit of Rs20000.00 Applicable.
  23. Starters will be served for 90 minutes only.
Additional Charges: Any damage to the hotel property while shifting the material to and fro from the hotel will be appropriately charged and the minimum charges would be Rs.10000/- per day.

  1. The above rates quoted are specific for the aforesaid event and are applicable on the basis of menu & market conditions for future events.
  2. Items served in excess of the agreed menu, at the request of the client would be charged extra.
  3. The guaranteed number of plates will be kept ready for consumption. For additional plates, the guest representative would need to place the requisition with the event supervisor.
  4. Food shall be prepared only for 110% of the number of guests guaranteed.
  5. Audio/Visual equipment, stage, dance floor and decorations hired from the hotel will be charged extra. 1. All rates are exclusive of taxes.
  6. (The cheque should be in the name of Foodkraft Hotels Pvt. Ltd.)An advance schedule is required to be adhered to and in the event the stipulated advance payment is not received. Foodkraft Hotels Pvt Ltd, reserves the right to release the space being held. A payment schedule is elaborated below in this agreement.
  1. For Companies/Guests not listed with our Hotel, payments are to be made one hundred percent in advance before the commencement of the function. Any additional payments are to be made before the close of the function.
  2. For payments made in foreign currency, the exchange rate prevalent on the day of the payment shall be considered for calculating the amount payable.
  3. Refunds, if any, shall only be made in Indian currency and by cheque.
  4. As per the Income Tax Regulations of all payments above Rs. 25,000/- the PERMANENT ACCOUNT NUMBER of the client needs to be informed to the hotel.
  5. Companies on the credit list may furnish a formal confirmation letter stating the billing instructions on their letterhead.
